NAAR accept? Top How do I Setup an Account? Click here for instructions. Top How do I know if my institution has pre-registered my records? Many institutions now pre-register their students with our service. If your institution has pre-registered you, then you will find a special letter from the NAAR included with your graduation documents that informs you of the pre-registration code to use and instructions on completing the process. If you have not received this letter from the NAAR along with your graduation documents, then your institution has not pre-registered your file. Top If the institution I had attended is closed how will the NAAR be able to assist me? The NAAR is able to verify your academic records and also able to reissue documents that have been archived within your NAAR account. Please read the questions below about document replacement and document generation as these may apply to your situation. Also, if you have lost or your academic records the NAAR can perform a search for your records, and is often successful in finding old records of closed institutions. The NAAR is also able to provide you with a Degree Equivalency Evaluation Report if your institution was based outside the US, or your institution was US based but not a regionally accredited institution. Basically all the services that your institutional registrar would have provided can be provided by the NAAR. Top If I register with the NAAR, what Services will the NAAR provide me? The NAAR provides all the services of an institutional registrar plus many services that an institutional registrar can not provide. The normal services of an institutional registrar include Credential Verification Services to both employers and other educational institutions, Document Replacement Services should your academic documents become damaged or lost, and Document Generation Services which include the generation of documents that were not in existence at the time of your graduation, but have become a necessary item due to changes in the world of today, and is a document now included in the institution's graduation credentials brief. An Institutional Consultation and the Degree Equivalency Evaluation Report are among the extra services that the NAAR provides that an institutional registrar can not provide. The NAAR can also provide you with a Records Search if you attended an institution that has closed and your records have become lost. Top Is there a monthly or yearly maintenance fee for archiving my records? No, the National Academic Archive Registrar charges a one-time non-refundable registration and set up fee of $195.00 or if pre-registered by your college or university a $45.00 set-up fee is charged. There are no maintenance fees. However, an account activity fee may be charged where applicable. Please read the question below "What is the Account Activity Fee?" Top Are the services of the NAAR free? Some limited services are free. If your account is setup with the open release protocol, then the NAAR can provide faxed verification of your academic credentials free of charge to Verification Services, Employers, or Educational Institutions. In all cases your academic information falls under the Federal Family Educational Rights and Privacy Act of 1974 and the release of any information to third parties must be protected. Third parties requesting your academic information must be able to answer questions of a personal nature before the information is released. The NAAR, just as an institutional registrar charges a fee for the release of records when faxing the record is not acceptable and delivery is required. Just as an institutional registrar will charge fees for replacement of documents, or other services that require the use of third party resources, the NAAR also charges fees in these situations. Top If the NAAR charges fees like my institutional registrar, then what advantage do I have with the NAAR? One advantage is that you have your records in a Safe House so to speak. Many institutions that we thought were going to be around forever are now closed and for those alumni the recovery of their academic information is close to impossible. Even if you have your academic records, the verification of those records is lost without the services of a registrar. A major advantage is in the time it takes to verify your credentials, the NAAR completes verification request on average 6 times faster than any institutional registrar. In some cases the verification is completed in the same day. Another advantage is for people that have two or more degrees, and each being from a different institution, the NAAR offers verification from a single source. This alone makes the difference in obtaining a great many employment opportunities that will require verification of each credential, and are lost due to the slow responses of an institutional registrar office. In the high speed world of today it just makes sense to work with an agency that offers you the advantage like the NAAR. Top Does NAAR give out verification over the phone? No, it is illegal to verify academic records over the phone or by email according to the Federal Family Educational Rights and Privacy Act of 1974. The NAAR protects your privacy by establishing a protocol that must be met before actual records can be released. Records are never discussed over the phone and never sent to an email address. Records that are released are sent by fax or delivered by courier to the authorized third party. Top If the proper protocol is met, what information is given out about me over the phone? Once the proper protocol has been met the only information given out verbally is that you do have a record on file in our database, then we will find out the number to fax the information to. No information other than the fact that you have a record on file is given out. Top If the proper protocol is met, what information is given out about me via Fax? Once the proper protocol has been met, the information faxed to a potential employer is the record requested. e.g., if an employer has requested information to be faxed from your file from XYZ University, then the copy of that transcript and related files will be sent, if they request information concerning all of your degrees, then your entire file will be faxed. Top If I don't give permission for verbal authorization, then how is my information given to an employer? In this case you must complete either the Online or the Printable version of the release form, "Academic Information Release to Employer" from our "Account Services" web page. Once this form has been received, and the information on it meets the protocol, then the records requested will be faxed to your potential employer. If the requirement is for your academic information to be delivered to the employer a fee is required and must be paid prior to sending us the request. Fees may be paid on our Fees & Payment web page and you may fax us the completed form unless you used the online form, or if you prefer to make your payment by Money Order, then you must use the printable version of the form and mail it along with your payment to the address at the bottom of the form. Top How are my academic records sent to an institution for continuing my education? Records for this purpose are usually sent via FedEx and there is a fee for this service. Some institutions now allow your academic information to be faxed to them and if this is the case there are no fees and you only need to complete online request form or the pintable request form and return to us by fax. In any case you must complete either the Online or the Printable version of the release form, "Academic Information Release to Educational Institution" from our "Account Services" web page. If the requirement is for your academic information to be delivered to the institution a fee is required and must be paid prior to sending us the request. Fees may be paid on our Fees & Payment web page and you may fax us the completed form unless you used the online form, or if you prefer to make your payment by Money Order, then you must use the printable version of the form and mail it along with your payment to the address at the bottom of the form. Once received, your records will be placed in a sealed envelope, then placed in the FedEx envelope and sent out to the named institution immediately. Delivery is usually completed within 5 working days. Top Is there a limit to the number of my academic records that I can have sent out? Presently we limit the number of record disbursements by fax to 25 within a 12 month period. We feel that this number is more than adequate for the purposes of obtaining employment. However, if you have reached your limit and still need our services an additional fee can be paid for a group of 25 more disbursements by fax. There is no limit on the number of records that you want sent to institutions. Top Can I store records such as recommendation letters or my diploma with the NAAR? Yes, any additional parts of the academic record will be attached to it if requested when your information has been authorized for others to see. Each Additional document added to your file also requires a $10.00 fee per page. Also see this question below. Top Can I store "Apostilled" records with you as well? Yes, if you have archived apostille documents then they will also be released with your academic record when your information has been authorized for others to see. Each Additional document added to your file also requires a $10.00 fee per page. Also see this question below. Top Does NAAR provide an Apostille service? No, we only act as a registrar to maintain academic records. However, we do provide the Degree Equivalency Evaluation Report which may provide you with exactly what you need at a much less expensive cost then an apostilled degree. See Degree Equivalency Evaluation Report below. Top What is an Apostilled Degree and do I need it? Many degree holders find that they need to have their degrees "legalized or authenticated", by having them "Apostilled". Countries that are Members of the Hague Conference will recognize your degree as being authentic once it is Apostilled. The Apostille is accepted in 59 countries. Apostillation consists of a notarized document which is attached to your degree, stating that the attached degree document has been fully earned, approved and granted, and the Apostille Document, signed and sealed by the secretary of state or embassy for the attachment of the Apostille. Also See Below the Degree Equivalency Evaluation Report which is used in places where an apostilled degree is not obtainable. Top What is the Degree Equivalency Evaluation Report? This is a special document that is Serialized, Certified, and Notarized. There are two versions of this report, "Short" and "Full" The "Full" version is done on a course by course evaluation using factual standards of education from the country of issue and is more widely accepted for this reason. The "Short" version is a degree to degree comparison using statistical standards of education from the country of issue. To determine which is better for your needs you may want to consider if the country of issue has had a bad record for educational standards in the past, but is now improving, the statistical method used in the Short form will return a lesser value than the factual method as used in the Full form of the report. On the other hand if the educational standards in the country of issue are not keeping up with the rest of the world, then the factual method as used in the Full version of the report would reveal this and therefore may return a lesser value on the degree evaluated. Even though the Full version may give a lesser value to your degree you may also consider that the Full version of the report is more widely accepted among countries that are Members of the Hague Conference. They realize that an Apostilled Degree is not always possible and usually recognize your degree as being authentic when it is accompanied by the Full version of this report. Top How can I determine which version of the Degree Equivalency Evaluation Report is right for me? The Short version is not as widely accepted as the Full version due to what is considered as "True Comparison" methods used in the Full version. The Full version is a course by course report and the Short version only examines the degree award. Both versions of the DEER are done evaluating educational values in the country that issued your credential in comparison to similarly issued course credits or degrees from Regionally Accredited educational institutions in the US. Because the Short version is done on averaging it can place a greater value on a degree award. For example, if you attended a university with a 90 credit requirement for your bachelor degree while most institutions in that country required 120 credits for the same degree, the averaging method would place your degree at a higher value than it truly has and this in a sense is a false statement as to the value of your degree. It is because of this fact that many countries will not honor the Short version of the report. On the other hand for your consideration, if you attended an institution that did require 120 credits for your bachelor degree and most of the institutions in that country only required 90 credits for the same degree, then the Short version would devalue your degree and you should obtain the Full version. If you have more questions on this issue please contact us. Top What is the Institutional Consultation Fee? This fee is charged as the first fee for an academic records search when the institution has closed, and also any time we are required to consult over any issue with your institution. However, this requires your request for our intervention. The most common instance for charging this fee is when you are unable to retrieve your records from your institution, or an update of your records is needed from your institution. The NAAR will contact your institution and work with them to have your records transferred to the NAAR. This usually only occurs when your institution does not operate a registrar office and therefore 3rd party intervention is often required. Top What is Image Digital Conversion and do I need it? Image Digital Conversion requires an additional fee since it requires additional work on our part to make your files acceptable to our data storage systems. Image Digital Conversion is only needed if you are unable to scan your files and save them into PDF format. If you send in files in any type of image file then Image Digital Conversion is needed. If you mail in copies of your documents then Image Digital Conversion is needed. The fee for this service is only required once per session. If you are sending in multiple files at the time you are setting up your account and these files are in an image format, or you have mailed them to us, then you only need pay this fee once, not once for each file. If you later add files to your account and again need this service, then you will have to pay this fee for that session. Top What exactly is an additional document and what is the fee if a complete document has multiple pages? An additional document is a single page that must be digitized into your file. A complete document may very well contain multiple pages or it may only contain one page. The fee is $10.00 per page. Examples of an additional document are a diploma, a letter of recommendation, a letter of attestation, or an apostille. If the document contains more than one page the fee is $10.00 per page. Top What is the Account Activity Fee? Once your account has been activated, the NAAR does require some type of activity once every 365 days to keep your account in active or Good Standing. The activity can be as simple as just updating your contact information - we even provide an online form to make it easier. If your account is without any activity for 365 days then it will slip into fault. At that time we will send you an email to each email address you have registered. The email will notify you of your inactivity and an Account Activity Fee will be due within 30 days. If the Account Activity Fee is not paid, then an Account Reactivation Fee plus an Account Activity Fee will be required within the next 180 day period and your account will be restricted. If you fail to reactivate your account during the 180 day period you will be required to pay an Account Reinstatement Fee to bring your account back into Good Standing. Details of the Account Reinstatement Fee can be found below. Top What is the Account Reactivation Fee? This fee is payable only if your account has not been delinquent for more than a 180 day period. Your account needs to be reactivated when you have failed to pay your Account Activity Fee within the 30 day grace period. If your account has been restricted and inactive for more than the 180 day period, then you will be required to pay an Account Reinstatement Fee to bring your account back to an active status. Details of the Account Reinstatement Fee can be found below. Top What is the Document Replacement Fee and will I need to use it? The Document Replacement Fee is used when you need the hard copy replacement of your transcripts, or special letters, or diploma that are archived in your account. The replacement document will appear much as the original containing seals and signatures. This fee is a per document fee and all cost of delivery within the US are included. Additional delivery fees will be required to all non US addresses. Please email us with your interests prior to ordering this item. Top I Setup an Account with the NAAR but I have not kept it in Good Standing, how do I reinstate my account? If you once had an active account with the NAAR you will only need to complete the online or printable form "Account Reinstatement" and pay the Account Reinstatement Fee to bring it current for reinstatement. An Account Reinstatement Fee combines the Account Reactivation Fee plus an Account Activity Fee for each 6 month period of inactivity past the initial 365 day period of inactivity until a period of one year of inactivity when the fees will increase monthly until the maximum amount is reached.. When all added together this determines the total amount of the Account Reinstatement Fee. This is the amount required to bring your account back to a current status. The amount of this fee varies, (Reference Chart for a Clearer Understanding) due to this variance of fees you will be required to fill in the amount on the payment form after you have clicked the BUY button. The maximum Account Reinstatement Fee is $150.00. Please email us so we can determine the correct amount that is required to reinstate your account. This is the amount you will need to fill in on the payment form. Top Can I reinstate my account even if I have had it cancelled in the past? Everyone makes mistakes! Yes, if you once had an active account with the NAAR and you asked us to cancel your account, and your account was in Good Standing at the time, then you are eligible to reinstate your account at the discounted fee of $100.00 You will need to complete the Online or Printable version of the form "Account Reinstatement" and pay the Account Reinstatement Fee to bring it current for reinstatement. Please email us so we can determine your qualification for this discount. Top Can you explain the Document Generation Fee? This fee only applies in the case where an institution has closed, and the past student of that institution requires a document that normally would have been generated by his institution. Examples of these documents include Institutional Letters of Attestation, or a General Letter of Recommendation based on the transcript GPA. This fee is a per document fee and all cost of delivery within the US are included. Additional delivery fees will be required to all non US addresses. We only accept payment by Credit Card on our website or payment by Money Order/International Money Order sent to our processing center listed on the bottom of the form that must accompany your payment. Make your Money Order payable to NAAR or National Academic Archive Registrar if using this method. We do not accept payment by personal check or by bank wire transfer. They are usually about getting started, setting up an account, or the services that we provide. We strongly discourage calling us with your questions because it may take several days for you to receive a reply to your telephone request.
